Using Kakobuy makes more sense when you stop thinking of it as one checkout. The public workflow has distinct stages: you identify a product sold on a Chinese marketplace, Kakobuy purchases it according to the submitted information, the seller sends it to a warehouse, the warehouse records and inspects it, and only then do you create an international parcel. The product payment and the international shipping payment are therefore separate decisions.
That separation is the most important part of this guide. Many expensive mistakes begin earlier than shipping: the wrong source URL, an unclear variant, a size selected from a label instead of measurements, or a parcel budget built from an old screenshot. A careful workflow gives each stage a small evidence check before money or time is committed to the next one.
1. Start with a source link, not a product nickname
A product nickname can lead to several sellers, qualities and versions. Start with the exact Taobao, Weidian, 1688 or other supported source URL. Kakobuy’s public description identifies the service as a purchasing and forwarding platform, and its help material says the purchasing service works from a URL supplied by the user. The URL is therefore part of the order specification, not just a browsing convenience.
Before pasting it into a search or order field, open the source page and record the seller, title, current price, variant names, size chart and any domestic delivery charge you can see. If the listing is unavailable, redirects to an unrelated item or hides the option you need, do not assume an old spreadsheet label is still correct. Find a current listing or stop.
2. Read the imported page as a translation, not a new seller listing
When an agent imports a marketplace URL, the resulting page is a purchasing interface built from source information. Compare its title, images, option names and price with the original page. Machine translation can flatten meaningful differences: “cream,” “rice white” and “white” may become the same word, while model codes may survive more accurately than colour names.
If the imported page is incomplete, use the order remark for facts the buyer must confirm. A useful remark is short and testable: “Black, seller option B, size 42; reject substitutions.” Avoid long stories, links to unrelated examples or a request to guess your size. The purchasing employee can follow a clear instruction, but cannot turn an ambiguous listing into certainty.
3. Choose the variant with a written record
Take a screenshot or save the text of the selected colour, size, model and quantity before the first payment. For clothing, compare the seller’s measurements with a similar garment you own; a letter such as L or XL is not a universal size. For electronics and accessories, check plug, voltage, connector, model and set contents. For multi-style jersey listings, record the exact team, season and name-set option.
Check the price again after selecting the variant. Marketplace cards often display the cheapest option, while the chosen size or bundle costs more. Domestic shipping to the warehouse may also be separate. The amount at this stage is not a delivered price because international freight is still unknown.
4. Understand what the first payment covers
The first payment authorises the product purchase and related domestic-order costs shown in the order. It does not normally settle the later international parcel. Treat your budget as layers: item price, possible seller-to-warehouse delivery, optional purchasing or handling charges displayed by the platform, international freight, optional parcel services, and possible destination taxes or carrier charges.
Before paying, check the live total and payment terms inside your account. Payment methods and fees can change, and a coupon may have a minimum spend, eligible route or expiry. Record the amount actually charged rather than estimating from the source price alone. If the total differs, identify the field before continuing.
5. Follow the purchase order to the warehouse
After payment, the order can pass through purchasing, seller dispatch, domestic transit and warehouse receipt. Kakobuy’s indexed help text says purchasing through a user-provided URL is normally completed within a stated working-day range, but the seller, stock condition and domestic carrier can change the result. Treat any range as context, not a delivery promise.
Kakobuy announced an original-order tracking feature in October 2025 that uses the purchase order number to ask about seller dispatch and delivery progress. This is different from the international parcel number created later. If an order is slow, ask which stage it is in: not purchased, awaiting seller shipment, in domestic transit, or awaiting warehouse processing. “Where is my package?” is too broad before an international package exists.
6. Inspect the warehouse record in a fixed order
Kakobuy’s public service information says purchased goods receive quality inspection and storage, and currently mentions 100 days of free storage. Inspection should not be interpreted as a guarantee of authenticity, material composition, comfort or durability. Warehouse images are most useful for visible questions: did the correct variant arrive, is the shape symmetrical, do measurements match, and is there obvious damage?
Review the record in this order: colour and quantity; size or model label; full silhouette; requested measurements; construction and alignment; visible stains or damage. Request one specific additional view when evidence is missing. “Show the tape from underarm seam to underarm seam” is better than “send more QC.” Keep the warehouse arrival date and after-sales deadline beside the images.
7. Resolve return questions before parcel submission
Kakobuy’s public help entry describes a five-day return or exchange window for eligible warehouse orders, subject to seller participation and the listed conditions. A warehouse status does not make every item returnable. Customised goods, seller restrictions, missing packaging, timing and other marketplace rules can affect the result.
If a visible problem matters, report it while the order page still shows the relevant option. Point to the image and compare it with the written order: “ordered black, warehouse record shows navy,” or “seller chart lists 58 cm, measured image shows 53 cm.” Do not wait until the item is packed internationally, when domestic return options may no longer be practical.
8. Build the parcel from current measurements
Once every selected item is acceptable, choose which warehouse items to combine. Consolidation can reduce repeated base costs, but a larger carton may increase dimensional or chargeable weight and can change route availability. Separate restricted products when they remove suitable options for the rest, and do not remove protective packaging from fragile items simply to chase a smaller box.
Use Kakobuy’s current shipping calculator for planning, then replace estimates with the packed parcel’s weight, dimensions and eligible routes. Save the route name, restrictions, compensation terms if offered, delivery estimate wording, chargeable weight and total. Different lines can use different dimensional factors or rounding rules, so one universal “price per kilogram” is not reliable.
9. Check the address like a warehouse label
Enter the recipient name, country, postal code, city, street, house or apartment number and reachable phone number in the format required by the destination. A correct city with a missing building number is still an incomplete address. Compare the final parcel screen with a trusted official address record rather than relying on browser autofill.
Read the route’s current customs and restricted-item notes. A route described as tax-inclusive or tariffless has specific conditions; it is not permission to misdescribe goods. Buyers remain responsible for lawful imports and may need to assist with clearance in special circumstances.
10. Track the parcel and preserve the handoff record
After dispatch, use the international tracking number and the carrier or route information shown for that parcel. The first electronic event may appear before the carrier physically scans the carton. A quiet period is not automatically loss, but a status that exceeds the route’s stated process deserves a dated support question containing the parcel number and last event.
Before signing, Kakobuy’s receipt guidance tells users to inspect the outer packaging and seal. Photograph visible damage before opening when possible, then compare the contents with the warehouse record. Keep the parcel label, unpacking record and correspondence until every item is accounted for.
A compact decision checklist
- The source URL opens the intended live listing.
- Seller, variant, size, quantity and price are recorded.
- The first payment is separated from international freight.
- Purchase-order status is not confused with parcel tracking.
- Warehouse images answer identity, measurement and visible-defect questions.
- Any after-sales request is filed before its current deadline.
- The parcel uses live dimensions, routes and restrictions.
- The final address includes the complete building information.
- Tracking and delivery evidence are retained until the order is complete.
The point of a step-by-step process is not to remove every risk. It is to prevent one uncertain field from silently moving through three payments and two shipping stages. When each decision has a small evidence record, the order is easier to review, explain and stop when something no longer matches.
